Office Administrator

Location - Docklands, London

We are looking for a hard working and self motivated administrator to support a variety of departments within our expanding Head Office. This role is ideally suited to a highly organised and effecient individual, who is detail-orientated and skilled in verbal and written communication.

Property Management

  • To effectively manage reported maintenance issues and ensure these are dealt with promptly.
  • To keep Landlord and Tenant updated throughout any ongoing property management issue.
  • To liaise with contractors in order to instruct, obtain quotes/job reports and arrange appointments.
  • To relay job reports and updates to the landlord and obtain cost approval on any quotes.
  • Arranging access with Tenants for contractor appointments/inspections.
  • To ensure that we hold the relevant statutory documentation for each Property and to arrange for these to be renewed when approaching expiry (Gas Safety Certificates, EPC Reports, EICR Reports, Property Licences).

Developments

  • To effectively manage the contractor’s diary to ensure efficiency. This will include meeting the target number of daily appointments, but also ensuring that there is buffer time between each for travel.
  • Check every competed job for accuracy, ensure all elements are complete and where necessary make amendments/corrections before submitting job reports to external clients.
  • Search for and order parts/materials required for specific maintenance jobs.
  • Generate and send quotes to clients, including answering questions and chasing up responses.
  • Create invoices for all completed jobs – includes applying profit margins and discounts as required.

Lettings Progression

  • To obtain the relevant referencing documentation from prospective tenants and to upload their details to the external referencing agency.
  • To send confirmation emails to landlords and tenants, detailing the agreed offer details.
  • To book inventories, check outs and professional cleans as required.
  • To draft tenancy paperwork as required – tenancy agreement, memorandum of renewal, deed of guarantee, deed of surrender etc.
  • To successfully manage all lettings files from offer acceptance to move in.
  • To provide statutory tenancy documentation to both landlord and tenant prior to tenancy start date.
  • To report all costs incurred on a file to the finance department.

Qualifications/Skills Required

  • Bachelor’s degree.
  • Strong desire to develop and learn.
  • Excellent attention to detail and organisation skills.
  • Strong computer and telephone skills.
  • An interest in real estate would be a benefit, but not essential.
